Build versus buy is the wrong question

Off-the-shelf software gets you running sooner but rarely does everything. A custom build fits exactly and carries no license fees, but takes longer. Most of the interesting work is in the space between the two.

When an organization chooses software, the question usually arrives already framed: do we build it or do we buy it? An off-the-shelf product gets you running sooner, but it may not do everything you need. A custom build fits your requirements exactly and carries no recurring license fees, so it can cost less over time, but it takes longer to deliver.

Both halves of that are true. What is not true is that you have to choose.

Start with the workflow, not the category

We begin by learning how a client actually works — the workflows, the requirements, the business goals. Then we look at what is already on the market and map where it falls short. The question that follows is not which product wins, but whether the gaps can be closed by integrating with the product and writing the missing parts ourselves. Often they can.

Association management systems are the clearest case

Systems like re/Members and iMIS are built for managing membership data, and they are good at it. What they are not built for is sitting inside somebody else's website. Members get handed off to a separate URL, or the site leans on embedded code that does not match the design around it. Either way the seam shows, and members notice the seam before they notice the feature.

We build the front-end screens ourselves so the whole site stays consistent, then connect them to the AMS behind the scenes in real time, through single sign-on and API-based data sharing. The member gets one experience, designed around the association. The association keeps the full power of the system it already pays for.

The same shape applies to email

Informz, Constant Contact and HubSpot each do their job well and each sit outside the website. Custom connections link the site, the email platform and the AMS, so the handoffs are invisible to the user and the data moves cleanly between systems rather than being re-keyed or exported and re-imported.

And sometimes nothing on the market fits

Some organizations have an offering or a process that no existing product handles, and for those we build the whole thing. What is worth noticing is that most of those same clients still run off-the-shelf software everywhere else. Being willing to do both is what lets each department get what it needs without one of them having to compromise for the sake of a single platform decision.

The point

The real question is not whether to build or buy. It is what this department, or these users, actually need — and that question gets a different answer in different parts of the same organization.
